Converter Workflow

Step-by-step guide to converting documents with AI.

Overview

The Converter is PaperAI's core tool for turning documents into structured Markdown. It walks you through four steps: upload files, configure settings, process with AI, and review results.

Step-by-step

Upload files

Drag and drop one or more files into the upload area, or click Choose Files to browse. You can upload multiple documents in a single batch. Each file displays its name, size, and upload progress.

Configure conversion settings

Choose how PaperAI should process your documents:

  • Flow selection — Pick a pre-configured Flow from the dropdown, or use "General Flow" for default settings. When a Flow is selected, its model, auto-approve threshold, and extraction fields apply automatically.
  • AI model — If using General Flow, select an AI model grouped by provider. Each model shows its credit cost per page and tier (Standard or Premium).
  • Cost estimate — A banner shows the estimated credit cost based on your page count and selected model, alongside your current balance.
  • Instructions — Add optional guidance for the AI. When a Flow is selected, your instructions are appended to the Flow's built-in prompt.

Advanced settings (available without a Flow):

  • Document type — Auto-detected or manually selected.
  • Language — Auto-detect (default), English, Korean, Japanese, Chinese, Spanish, French, German, Portuguese, Arabic, or Hindi.
  • Temperature — Slider from 0.0 (precise) to 1.0 (creative), in 0.1 increments.
  • Page range — For PDFs only, specify pages to process (e.g. 1-5, 8, 10-12).

Processing

Conversion runs asynchronously with live status updates for each file:

  • Waiting — Queued for processing.
  • Uploading — File being sent to the server with a progress bar.
  • Converting — AI is analyzing and extracting content.
  • Done — Conversion complete, with processing time displayed.
  • Failed — An error occurred. You can retry individual files.

An overall progress bar and elapsed time counter track the full batch.

Review results

Once processing completes, you see:

  • A per-file result list with status indicators.
  • Extracted fields (if your Flow has extraction enabled) displayed in a two-column grid showing field names and values.
  • Action buttons: View the converted document, Review & Edit side-by-side, or Download the Markdown output.
  • For batches, a View in Documents button takes you to the file manager.
  • A Retry Failed button appears if any files encountered errors.

AI-generated output may contain errors. Always review and verify content before using it downstream.

Quick launch

You can jump straight into conversion from a Flow's detail page by clicking Launch. This pre-selects the Flow and skips configuration — just upload files and conversion begins automatically.

Credit costs

Credits are calculated as:

Estimated cost = page count × model credit multiplier

The cost estimate appears before you start conversion. If your balance is insufficient, a warning appears with a link to purchase more credits.
